Terms of Service
These terms govern your use of EZ COC. In short: you pay up front by EFT for 6 or 12 months of access, you are responsible for what you upload, and for your customers' details we act as your operator under POPIA.

1. Acceptance
EZ COC is operated by its owner ("we", "us"). Our full company details, including our registered name and number, will be published on this page before general launch. You accept these terms by ticking the checkbox when you create an account, and by choosing to try the demo, which is shown with a notice that doing so means you agree. If you do not agree, do not use EZ COC. We record the time and version of your acceptance on your account and a copy of the version on your device.
You must be at least 18 and able to enter a binding agreement. If you use EZ COC for a company, you confirm you may bind it. Read these terms with our Privacy Policy and Cookie Policy.
2. What EZ COC is and is not
EZ COC is a filing, search and document-assembly tool, available as a web app and an Android app. You upload COCs and site photos with descriptions, find them later and generate a combined PDF. A free demo with sample data lets you try it; nothing from the demo is saved.
EZ COC is not an issuing body. It does not issue, register or validate Certificates of Compliance and does not check that a certificate is genuine, correct or complete. We give no legal or regulatory advice. A COC stored in EZ COC or included in a PDF is not thereby valid.
The app links to official test report templates on the website of the Electrical Conformance Board of South Africa (ecb.org.za). EZ COC is not affiliated with the ECB. The templates belong to the ECB, and we are not responsible for their content or availability.
3. Accounts and security
An account belongs to a company. Everyone you add to the company account can see all of its COCs and files. Give accurate details and keep them current. Keep your password confidential and do not share your account outside your company. You are responsible for activity under your account, including by your staff. Tell us promptly at privacy@ezcoc.com if you suspect unauthorised access. Sign-in sessions last 30 days, and repeated failed logins lock the account for a time.
4. Access, payment and renewal
Access to your account is paid for up front by EFT for a period of 6 or 12 months. The price and any VAT are shown on the invoice or quote we send you before you pay. We then give you a one-time access code that unlocks the account for the period you paid for.
- Access codes are single-use and may not be sold or transferred. Each redemption is logged with the account and IP address.
- Access does not renew automatically and we do not charge you again without you paying. To continue, you buy a new period before the old one ends.
- When access ends, you can no longer use the account, but we keep your data for 12 months so you can renew, then delete it as described in the Privacy Policy. Export what you need before access ends.
- We may add card payments through Paystack later. If we do, we will update these terms.
5. Cancellation and refunds
If you are a consumer under the Consumer Protection Act (CPA) and bought at a distance, the Electronic Communications and Transactions Act (ECTA) section 44 may give you 7 days after the agreement to cancel without giving a reason and without penalty. Where it applies, we will refund what you paid, less only the direct costs of returning goods, which do not arise here. Ask for it at privacy@ezcoc.com. We will refund by EFT within 30 days. If you have already redeemed your access code, we may treat the service as started with your consent where the law allows that.
Otherwise, payments are not refundable for a change of mind once the access code has been redeemed. If we cannot provide the service, or we end your access for a reason that is not your breach, we will refund the part of the period you did not receive. If the service is not performed with reasonable care and skill, you keep your rights under the CPA, including to have it re-performed or to a refund where the CPA provides for one. Nothing in these terms reduces rights that cannot lawfully be waived.
6. Your content and our licence
You keep ownership of your content, including COCs, photos and descriptions. You give us a limited licence to host, store, copy, process and display it only as needed to operate EZ COC for you, including backups and generating the PDFs you ask for. We do not use your content for any other purpose. The EZ COC software, name and branding remain ours.
7. Your customers' personal information: operator terms
If your content contains personal information about your customers, you (or your company) are the responsible party under POPIA and EZ COC is your operator. You confirm that you have a lawful basis to upload it and have told your customers as the law requires. As your operator we agree to:
- process that information only on your instructions, which are your use of EZ COC and any written request you make, and treat it as confidential (POPIA section 20)
- keep appropriate technical and organisational security safeguards, including encrypted connections, private file storage with short-lived signed links, company-level separation, hashed credentials and logging of admin actions (POPIA section 21)
- use only the sub-processors listed in the Privacy Policy, who are bound to similar protections, and tell you if the list changes materially
- notify you without undue delay at your account email if we have reasonable grounds to believe the information was accessed or acquired without authority, so that you can meet your own duty to notify the Information Regulator and the affected people
- help you respond to requests from your customers where we reasonably can
- delete or return the information when the agreement ends, as set out in the Privacy Policy, unless the law requires us to keep it
8. Acceptable use
You must not:
- upload anything unlawful, false or misleading, or a certificate you are not entitled to hold or share
- upload personal information you have no lawful basis to hold
- try to access another company's data, or to break, overload or probe the service
- upload malware, or use automated tools to scrape or flood the service
- resell, share or transfer your account or access code outside your company
9. Availability and disclaimer
EZ COC is provided "as is" and "as available". We do not promise uninterrupted or error-free service or any particular uptime. Keep your own copy of important certificates. We may change features, and we will try to give notice of material changes.
10. Suspension and termination
We may suspend or end your access, and where it is a serious breach without refund for the unused period, if you breach these terms, misuse the service, use a code in breach of these terms, or create a security risk for others. We will tell you why where we can and give you a chance to fix it where that is reasonable. You may stop using EZ COC at any time and ask us to close your account and delete your data at privacy@ezcoc.com, subject to the refund terms above. We may also end the service, and will refund any unused paid period if we do.
11. Limitation of liability
To the extent permitted by South African law, including the CPA and ECTA where they apply, we are not liable for indirect or consequential loss, loss of profit or business, or loss of data arising from your use of EZ COC. For direct loss, our total liability is limited to the amount you paid us for the access period in which the claim arose. Nothing in these terms limits liability that cannot lawfully be limited, including liability for gross negligence, intentional misconduct or fraud, or any right that cannot be waived by agreement.
You are responsible for loss caused by inaccurate content you upload or by your failure to comply with the Electrical Installation Regulations, and you indemnify us against third party claims arising from content you had no right to upload.
12. Changes to these terms
We may update these terms. Each update gets a new version and date. When the version changes you will be asked to accept it again before you continue using EZ COC. Changes do not affect anything you paid for or did before they took effect.
13. Governing law and general terms
These terms are governed by the laws of the Republic of South Africa, and the courts of South Africa have jurisdiction. If a clause is found unenforceable, the rest stays in force. Failing to enforce a right is not a waiver of it. These terms, the Privacy Policy and the Cookie Policy are the whole agreement between you and us about EZ COC. We may send notices to your account email.
