How to store electrical COCs so you can find them years later

To store electrical COCs properly, keep the certificate, the test report and your site photos together as one record, tagged with the customer, the address and the COC number. Search by any of those three. Paper piles, phone galleries and WhatsApp chats all fail once you have a few hundred jobs.

Why you need to find a COC years later

You will be asked for an old certificate when you least expect it. A homeowner is selling, a conveyancer wants the paperwork by Friday, or an insurer is questioning a claim after a fire. Each time, the person asking assumes you can produce it in minutes.

The certificate you issued is also your record of what you inspected and tested on the day. If a customer later disputes the work, or an inspector queries it, the file is what you point to. A certificate you cannot find is a certificate you cannot defend.

What to keep with every COC

Keep three things together for every job: the certificate itself, the test report, and your photos. The certificate is the document the customer receives. The test report holds the readings behind it. The photos show the installation as you found it and as you left it.

Numbering and naming you can search

Name every file the same way, and put the searchable facts in the name. A pattern such as the COC number, then the surname, then the street works, because those are the three things people phone you with.

Pick the pattern once and never vary it. A folder called "Jones new DB" tells you nothing in two years. A file called with the COC number, surname and street can be found from a half-remembered fragment.

If you reissue or add a supplementary certificate after alterations, keep it with the original job rather than as a separate customer. When someone asks for the history of an address, you want one trail, not three scattered ones.

Where paper, WhatsApp and folders break

Each of the usual methods works until the volume grows, and then fails in a predictable way.

The common problem is that none of them let you search by customer, address or COC number and get the whole job back, certificate and photos included.

One searchable system

What you want is a single place where each COC is filed with its certificate, its photos and its address, and where one search box finds it. EZ COC is built for exactly that. You file each COC as the certificate PDF or image, add site photos with a section and a description for each, and record the address. You can then find any COC in seconds by customer, address or COC number.

When the agent or conveyancer asks, EZ COC generates one page-numbered PDF with the certificate first and a photographic record after it, grouped by installation section. See how to combine a COC and test report into one PDF for how that pack is put together.

To be clear about what it is not: EZ COC does not issue or register certificates, and it does not replace the ECB or ECA(SA). You still issue the COC through your normal route. EZ COC is where you keep the result and find it again. You can try it with no account through the demo below.

A short routine that keeps the system honest

A tool only helps if you use it on the day. File the certificate before you leave site or at the latest before you invoice, while the details are fresh. Upload photos at the same time, with the section named while you still remember which board is which.

Once a month, pick three old jobs at random and try to find them by address. If you cannot find one in under a minute, fix the habit that lost it. That small test shows whether your record keeping works before a customer tests it for you.

Frequently asked questions

How long should an electrician keep COC records?

We could not find a source that sets a retention period, so we will not invent one. Ask ECA(SA) or the ECB what they advise, and keep records for at least as long as the installation could reasonably be queried.

Can I register old CoCs with the ECB?

The ECB register accepts CoCs and keeps a history for each property, and it states it accepts CoCs from all organisations. Whether you can register older certificates depends on their process, so check with the ECB directly.

How do I find a COC by customer address?

File every COC with the site address when you create the record. In EZ COC you can then search by customer, address or COC number and open the matching certificate and photos in seconds.
